Job Description

The position of Supply Chain Coordinator is responsible for ensuring production planning to purchasing materials to the coordination of the finished goods is achieved based on the needs of the customer and within the guidelines of the organization. The expectation of this position is to make decisions with the guidance of management based on forecast demands and our internal inventory.

Essential Job Functions:


Production Coordination

  • Secures and analyzes quotations, negotiates prices and terms with vendors and suppliers, and recommends suppliers and/or vendors with respect to cost, quality and delivery competitiveness for assigned responsibilities
  • Studies market prices and trends and manufacturing method of improvements
  • Works closely with internal departments to forecast needs to help maintain inventory levels needed for production
  • Prepares inquiries regarding manufacturing of products and packaging; maintains records on each product produced
  • Researches and obtains materials needed for new projects

Purchasing Coordination

  • Searches inventory records to determine if the products on hand is in sufficient quantity
  • Responsible for accurate entry, maintenance and submission of purchase order based on customer demand as well as stock replenishment
  • Assures that the ordered products are delivered on schedule, at negotiated price, and meets the quality standards of the company
  • Maintains timely control of orders, amendments, shipping notices, and other documents to assure accurate retention of records
  • Coordinates appropriate methods needed to distribute products in a cost effective manner to and from the supplier both domestically and internationally
  • Coordinates product change notification when necessary
  • Prepares requisitions, purchase orders and other forms as directed; maintains accuracy while creating and verifying purchase information including proper product cost, and shipping instructions, etc.
  • Works directly with freight forwarders while managing shipment schedule, flight delivery schedule, inventory levels, inventory receipts, physical inventory, product labeling and packaging requirements
  • Confirms items, prices and freight costs of incoming shipment to verify information against bill of lading, invoices, orders, or other records; forwards invoices to accounting department
  • Creates and arranges periodical (i.e.: annual) cost reduction negotiation with suppliers
  • Ensures the compliance requirements are current
  • Forecasts and reports the quantities’ and amounts of the products required to be purchased
  • Receives marketing materials related to suppliers products such as catalog or pamphlet; maintains and records on each product produced
  • Communicates with sales and logistics team to gather sales forecast that help to maintain inventory control
  • Registers and maintain product registry with appropriate agencies
  • Maintains supplier and pricing lists
  • Process and produce private label orders, including label and material printing
  • Other duties and projects as assigned

Other & Miscellaneous

  • Seeks constant improvement, more efficient and less expensive ways and means in work processes.
  • Performs special projects and other miscellaneous duties as assigned by Management.
  • Maintains high ethical standards in the work place.
  • Reports all irregular issues and problems to Management for solutions
  • Maintains good communication with Management, office, staff members and outside contacts.
  • Complies with all Company policies and procedures as described in the Company Handbook.
  • Responsible for maintaining a clean and safe working area.

 

Job Requirements

Education Experience 

  • Bachelor’s degree (B.A.) from four-year College or university; or equivalent combination of education and experience.

Work Experience

  • Minimum 2-3 years in production and/or purchasing coordination.
  • Experience in food ingredient, value added ingredient, or nutraceutical ingredient a plus.

Supervisory Responsibilities

  • None required. Certificates / Licenses.
  • Valid California Driver’s license.

  • Software includes the use of Windows operating system and MS Office
  • QuickBooks experience preferred
